How it works

Ask a question. Get the answer, and where it came from.

Neil reads your company's email, files and chats where they already are, and answers your team's questions from them. Here is what happens, from the first connection to the first answer.

2Neil reads themAnd keeps up as new things arrive.

Set-up

Getting started asks little of your IT team.

You go live 7 to 14 days from the agreed start. Here is what happens in between.

StartThe agreed startWe agree which systems to connect and what stays out.
ThenOne approvalWhoever manages your Microsoft 365 or Google Workspace approves the connection. No servers, no installation.
ThenHow far back?We show you how far back each amount of history reaches. You choose.
ThenBrought in and checkedYour records are brought in, newest first, and every person's access is checked.
Day 7 to 14Your team starts askingStaff sign in with the work accounts they already have.
Nothing to learnPeople ask in plain words. If they can write an email, they can ask Neil.
Always up to dateNew emails, files and changes are picked up automatically through the day.
Help from the people who build itWhen you need help, you reach the team that builds and runs AskNeil, not a call centre.

Built to grow with you. The same system serves a team of ten or an organisation of thousands.

What Neil reads

Documents and spreadsheetsIncluding exports from your business systems.

Running accounting, CRM, ERP or maintenance software as well? We are steadily adding connections to more of the systems companies run on. Tell us what you use.

For your IT adviser: connections use the official Microsoft and Google interfaces, with permissions approved in your own admin centre. Folders you exclude are never read.

People join, people leave

New starters find answers from day one. What leavers knew stays.

When someone joins

From the first day, a new person can find answers on their own: procedures, past decisions, who handled what. Less waiting for them, fewer interruptions for everyone else. Helping new starters →

When someone leaves

What they wrote in shared places stays findable. If their mailbox matters too, your admin can ask us to give their successor access to it for a set period. How a mailbox handover works →

The new person starts with the history, instead of starting from nothing.

Answers you can check

Straight answers. Never a guess.

How do I check where an answer came from?

Every answer lists its sources: the document, the email or the chat, and the exact passage. One click opens each one.

What if the answer isn't in our records?

Neil says so: "This is not in your records." Then, where it helps, one sentence on what the records do contain. Never an invented answer.

How much notice do we need to cancel the Northwind contract?

14 days, in writing — so you need to send notice by this Friday.

The Northwind agreement renews automatically on 1 November. Clause 7.2 allows either side to cancel with at least 14 days' written notice before the renewal date [1]. Northwind confirmed the same reading by email in March 2025 [2].

What if a question could mean several things?

Neil shows the likely documents and asks which one you mean, instead of picking one and hoping.

Which version of a document does Neil use?

The latest one. When two similar documents disagree, Neil names both, with their dates, so you can see the difference for yourself.

Can we ask in other languages?

Yes. Neil answers in the language you ask in, your records can be in several languages, and every source is shown in its original language. AskNeil itself is available in English, French (France and Canada), Italian, German, Spanish, Dutch and Polish: each person chooses their own language, and your company sets the default. Other languages are available on request.

Can it read old email threads and chats?

Yes. Decisions made in email or in a chat are often the ones people can't find. Neil reads them alongside your files.

Does Neil make things up (hallucinate)?

Neil answers only from your records, and shows the source for every part of the answer. When the answer isn't there, Neil says so. Like a careful colleague, Neil can occasionally misread an answer drawn from many documents at once, which is why the sources are always one click away.

Can I search email, shared drives and chat at once?

Yes. You ask once, in plain words, and Neil answers from all of them together: an email thread, a contract on the shared drive and a chat message can all feed one answer.

How do I find an old contract quickly?

Ask for it the way you would ask a colleague: "what are the payment terms in the Kestrel contract?" Neil names the document and the clause, and one click opens it. You don't need to know which folder it is in.

Can a successor search a leaver's mailbox?

Yes, if your admin asks us to allow it. The successor gets access for a set period, up to a year. Every source from that mailbox is clearly marked, your admin can see the access and withdraw it at any time, and it ends on the date set.

Counting questions

How many? How much? Which month was worst?

Most AI tools answer by finding the passages that best match your question, and writing from those. That works well for "what does clause 7 say?".

It fails for "how many near misses did the Hamburg office report in the third quarter?", because that answer is not in any one passage. It is spread across hundreds of reports, and a tool that reads only the best few matches will get it wrong, and sound sure.

For the reports and forms that matter most to you, Neil takes every single one into account. So counting, totalling and comparing questions get exact answers, and each answer says exactly what was counted.

Why most AI tools can't count your reports →

How many near misses did the Hamburg office report in Q3?

7 near misses were reported by the Hamburg office between 1 July and 30 September.

Four involved forklifts or racking, two were slips on the loading dock, and one was a cold room door left open.
